Fundamental Policy
The NIHON MECCS Group (hereinafter referred to as the “Group”) is sufficiently aware of its social responsibility to appropriately manage personal information (including specific personal information and hereafter referred to as “Personal Information”); therefore, it stipulates a fundamental policy for personal information protection as stated below, and it will endeavor to make all employees thoroughly aware of the policy and strive to protect Personal Information.
- When the Group will obtain, use, or provide Personal Information, it will clearly stipulate the purposes of use and properly conduct handling within the scope that is necessary for accomplishment of those purposes of use.
- The Group will comply with laws and guidelines related to protection of Personal Information.
- In order to conduct appropriate promotion and management of Personal Information, the Group will establish a system for taking responsibility within the Group.
- For people who conduct work that involves handling Personal Information, the Group will provide the necessary information and education and conduct appropriate supervision.
- The Group will ascertain the risks of the external and internal environments surrounding Personal Information and will implement the safety management measures that are necessary in order to prevent unauthorized access, loss, and leaks and in order to maintain accuracy.
- The Group will appropriately handle opinions and consultations related to the handling of Personal Information.
- The Group will continuously conduct improvement in order to appropriately maintain personal information protection.

About the handling of customers’ Personal Information
- (1) About Personal Information acquisition and purposes of use
In order to efficiently conduct business, the NIHON MECCS Group (hereinafter referred to as the “Group”) will use Personal Information and specific personal information that is obtained through business activities within the scope that is necessary for the execution of that work. The specific purposes of use are as stated in The specific purposes of use are as stated in Enclosure 1: Purposes of Use of Personal Information. - (2) About the joint use of personal data
If Personal Information will be jointly used, the Group may use an agreement to give the other party an obligation to maintain confidentiality and then jointly use Personal Information. When joint use will be conducted, we will make a public announcement on the Group’s homepage. - (3) About the provision of Personal Information to third parties
Excluding cases stipulated in laws and regulations, the Group will not provide Personal Information to third parties without obtaining the relevant person’s agreement in advance. In addition, excluding cases stipulated in laws and regulations, we will not provide specific personal information to third parties. - (4) About the provision of Personal Information in association with work consignment
In relation to executing the Group’s work, the Group may provide Personal Information or specific personal information to companies to which work is consigned. In such a case, for handling of Personal Information, we will use an agreement to give the relevant company an obligation to maintain confidentiality and ensure that appropriate management is conducted in the same way as that of our company. - (5) About the procedures for disclosure of Personal Information
If a request for Personal Information disclosure, correction, suspension of use, elimination, or disclosure of records of provision to third parties is received, the Group will confirm that the person who made the request is the person related to the information and then promptly handle the request, unless there is a special reason.- (i) Documents that are necessary for requesting disclosure

- (i) The Group will build an organizational management system by allocating personal information managers and preparing internal regulations.
- (ii) We will impose an obligation to maintain confidentiality on all employees and we will conduct regular training concerning the importance and handling of personal information protection.
- (7) About the management of Personal Information
- (i) We will implement measures to physically prevent information leaks caused by theft or loss.
- (a) Management of entry to and exit from buildings and floors where Personal Information is handled
- (b) Prevention of theft of devices and electronic media
- (c) Prevention of leaks when Personal Information is transferred
- (d) Deletion of personal data and disposal of information devices and electronic media
- (ii) We will implement measures to technically prevent information leaks caused by unauthorized access.
- (a) Authentication, authority, control, and management of records when personal data is accessed
- (b) Prevention of unauthorized access by external parties
- (c) Measures against software’s vulnerabilities and measures against viruses
- (d) Measures using encryption in times of transfer, sending, and receipt
- (e) Monitoring of information systems
- (i) We will implement measures to physically prevent information leaks caused by theft or loss.
